The Challenge
WhatsApp orders from over 1,200 retail agents took up to 3 days to match against separate stock sheets at each godown.
The Shiv Bow Solution
Connected WhatsApp orders directly to BowCRM and BowERP. Orders are now allocated and GST invoices generated within 10 seconds.
National Agro Distributors coordinates stock movement across 14 regional warehouses for a network of over 1,200 retail agents, most of whom historically placed orders over WhatsApp. Each order had to be manually cross-checked against whichever godown's stock sheet the dispatch team happened to have open, a process that routinely took three days from order to confirmed allocation — long enough that agents would sometimes re-order from a competitor before their original request was even fulfilled.
Shiv Bow's solution centered on collapsing that manual matching step entirely. We configured BowCRM with a WhatsApp Business API integration that parses incoming agent orders directly into structured line items, then runs them against live BowERP stock levels across all 14 warehouses simultaneously — allocating from whichever location can fulfil fastest rather than whichever one a dispatcher happens to check first.
GST-compliant invoicing generates automatically the moment an allocation is confirmed, using each agent's registered state to apply the correct tax treatment without manual intervention.
The change was immediate and measurable: standard orders are now allocated within 10 seconds of arriving, instead of three days. Even after partial fulfilment and exceptions are accounted for, overall order cycles are three times faster than before. Internal stock-holding overhead — inventory held redundantly across warehouses "just in case" a central view wasn't available — fell by 40% once dispatch teams could trust the live multi-warehouse numbers.
