The Challenge
Managing shift rosters, biometric attendance, and PF/ESI filings for 350+ store staff on spreadsheets led to repeated filing delays.
The Shiv Bow Solution
Implemented BowHRM connected to the stores' biometric scanners, with payroll and PF/ESI calculations running automatically on private servers.
Sri Balaji Marts operates a chain of retail stores employing over 350 staff across multiple locations, all subject to India's PF and ESI statutory filing requirements. Shift rosters and biometric attendance records were maintained on spreadsheet templates per store, manually consolidated at month-end for payroll processing — a process fragile enough that filing delays had become a recurring compliance risk rather than an occasional exception.
Shiv Bow implemented BowHRM linked directly to biometric attendance scanners already installed at each store, so clock-in and clock-out events flow into a single payroll engine in real time rather than being re-keyed from a register at month-end. PF and ESI deductions are calculated automatically against each employee's attendance record according to current statutory rates, removing the manual calculation step that had previously been the most common source of filing errors.
Because retail staff shift patterns change frequently — swaps, short-notice leave, seasonal hiring — the system was configured to allow store managers to make roster adjustments locally, with payroll recalculating automatically rather than requiring a separate reconciliation pass.
Since go-live, Sri Balaji Marts has recorded zero PF/ESI compliance filing delays across all locations, and biometric attendance sync accuracy has held at 99.9%, with the small remaining variance attributable to hardware maintenance windows rather than data loss.
